Who This Playbook Is For
Operations leads, store managers or HR coordinators who bring in people every month — retail, hospitality, BPO, services. When onboarding lives in memory, it varies by who does it. When it lives in a checklist with owners and due dates, every hire starts the same strong way.
Blueprint — Roles, Tasks and Tracks
| Track | Owner | Due | Evidence |
|---|---|---|---|
| Offer & contracts | HR | Before day 1 | Offer + ID + bank + signed handbook |
| Systems & access | IT / Ops | Day 0 | ConfigBiz invite + role + locations |
| Equipment & uniform | Ops / Store | Day 1 | Issued list signed |
| Buddy & training | Manager | Week 1 | Check-ins logged |
| Probation review | Manager + HR | Day 30/90 | Scored criteria + decision |
Recommended Fields
- Employee: start date, role, team, manager, location, probation end, equipment, certs
- Checklist: task name, track, owner, due offset, required proof, blocking (Y/N)
- Review: punctuality, SOP adherence, customer feedback, ramp curve, stay/extend/exit
Workflows
- Pre-boarding: Offer accepted → records created → access provisioned → equipment staged
- Day 1: Welcome → tour → policies → buddy assignment → first tasks revealed
- Week 1: Check-ins at day 3 and 7; missing items nudge owners
- Probation gate: 30/90-day form auto-assigned; outcome drives next track
Common Mistakes
- No owner per task — "someone" owns nothing; assign by name
- Huge packs on day 1 — drip tasks across 7–14 days
- No proof — require upload or manager tick; audit later is easy
| Metric to watch | Good | Fix |
|---|---|---|
| Time to first productive shift | <3 days | Pre-stage access + equipment |
| Checklist completion Day 7 | >85% | Daily nudge + manager escalation |
| 90-day retention | >80% | Buddy + early feedback loop |
